How to work solo, as a team, or as an organization

A practical guide to choosing the correct portal, and to actually using workspaces, Tasks, Research Projects, and sharing day to day — whether it's just you, your firm, or your whole organization.

Portal access

User work and organization administration are separate

An organization member is still an AI Attorney user with their own personal workspace. Joining an organization adds its shared workspace on top of that — it never replaces your personal workspace, and it doesn't move your everyday legal work into the admin portal.

Accept the organization invitation and sign in with that user account. You'll have your own personal workspace plus the organization's workspace, and can switch between them.

Your workspace

Your personal workspace, plus an organization workspace if you have one

Every user always has a personal workspace of their own. Organization membership adds a separate, shared workspace on top of it — the two never merge, and joining an organization never takes your personal workspace away.

Working solo

You're the Owner of your own personal workspace from the moment you sign up. Everything stays private by default — there's nothing else to set up.

  • Private by default until you choose to share something

Running a team or firm

That same personal workspace can grow into a team. A plan with invite seats lets you bring people into it as a Member or Viewer.

  • You invite; they accept and start working inside your workspace
  • Member can create and edit shared work; Viewer can only read it

Running an organization

An organization's Admin runs things org-wide from a separate Admin Portal — members, workspaces, usage — and is this workspace's Owner here in the user portal.

  • Invited Members and Viewers keep their own personal workspace too
  • Everyone signs in through the same user portal

These are two different workspaces, not two versions of the same one. An invited organization Member or Viewer keeps their own personal workspace exactly as shown on the left, in addition to their role in the organization's workspace on the right.

Your access is checked every time, not just hidden behind a menu

Every action — opening a document, inviting someone, changing a task — is checked against your workspace and role on our servers before it happens. It is not simply a matter of which buttons the interface shows you.

Tasks Workflow

Coordinate legal work with defined ownership and visibility

Create a task, decide whether it's Private to you, visible to a Team, or visible to the whole Workspace, and @-mention anyone who needs to see it — even if they're not assigned. Task teams have their own Owner, Manager, and Member roles for organizing a specific team's work, separate from your overall workspace role.

Research Projects

Keep the research question, sources, discussion, and history together

Inside the app, Research Projects are called research notebooks. Set one to Workspace visibility and @-mention a colleague straight into your notes — they're notified right away, and you can see who else is viewing the notebook live.

  • Storage is pooled across the workspace, not split into separate per-person quotas
  • A shared task or research note can't reference something that's still private
  • An Activity feed shows sharing and task updates across the workspace as they happen

A shared item can't leave someone stranded

If a task or research note is shared, it can't reference something still private — and once a shared file is actively referenced that way, it can't be pulled back to private until the reference is removed. Nobody on the team hits a dead end.

Workspace roles

Every person has exactly one role in each workspace

You have a role in every workspace you belong to — always Owner in your own personal workspace, and separately Admin, Member, or Viewer in any organization workspace you're part of. What a role can do depends on which kind of workspace you're looking at.

Organization workspace

Admin

Runs the organization from the separate admin portal, and is automatically the owner of this workspace here. Can invite people, manage workspace settings, and see everything shared across the organization.

Member

Can create and edit shared work, and use the organization's plan features inside this workspace.

Viewer

Can open and read shared work, but cannot create or change anything.

Individual workspace

Owner

The person who owns this workspace and its plan. Can invite people up to the plan's limit, and can see everything shared here.

Member

Can create and edit shared work, and use the plan's features inside this workspace.

Viewer

Can open and read shared work, but cannot create or change anything.

* A workspace-level Manager role also exists in AI Attorney for future use. It cannot be assigned in either workspace type today. This is separate from the Owner, Manager, and Member roles a task team uses to organize its own task work.

Getting started

Start with the path that matches your account

Do not create a second account simply because you have joined an organization. Use the account connected to the organization invitation.

New individual
